Logistics

The Organisers & Venue are doing everything they can to ensure that build up and breakdown runs as smoothly as possible for everyone onsite, but all Exhibitors, Contractors and Suppliers also have a responsibility for this. Below are some ideas that you should be considering:

Advanced Warehousing

Want to avoid the traffic queues and potentially save money? Then why not send your goods/stand building materials to the Official Logistics Provider two weeks before the show, who will then deliver them to your stand in timOperations-Supplierse for when you arrive onsite. See section below for more details.

Delay Delivery of Furniture & Dressing Items

You don’t need your furniture on the first day of build so be considerate of others and plan your deliveries accordingly.  To avoid the risk of furniture and dressing items being turned away during the first few days of build, why not arrange for these items to be stored with the Official Logistics Provider until you are ready for them?  

Couriers

No one enjoys getting stuck in exhibition traffic and it is very easy for courier drivers to refuse to deliver your items.  Therefore contact the Official Logistics Provider who would be more than happy to manage this for you instead.  Give them a call to see how they can help ensure a smoother onsite experience for you and your team. 

Brexit

If Brexit will have an impact on you delivering items to and from the exhibition then please contact the Official Logistics Provider who are more than happy to help with any further queries and provide advice and guidance.

By preparing in advance and shipping early you are reducing the risk of delays or even your goods not turning up on time.  Don’t risk it, act now and book Advanced Warehousing.

The organisers can not take responsibility for anyone’s deliveries/shipments.  They are also unable to provide EORI numbers.  Do make sure that you check the guidance and speak to the Official Logistics Provider.

Traffic

All build & break vehicles must gain access to the site via the east entrance, on Sandstone Lane. The postcode is E16 1DR.

Please ensure to read the ExCel traffic process in full before arriving onsite.

You will be asked to register all vehicles on arrival.

Build & Break Vehicle Booking System

Essential information for delivery traffic and parking at ExCeL London

Improving efficiency for exhibitors and contractors delivering during build-up and breakdown is an essential factor for a successful show. 

ExCeL is adopting the Voyage Control pre-show vehicle booking system for deliveries to the show floor to ensure clarity in terms of access and to reduce waiting times.

For a seamless process, it is essential that all vehicles needing access the venue’s loading bays are pre-booked on the ExCeL London Vehicle Booking System.   

To book your vehicle please go to excellondon.voyagecontrol.com

Please note that booking will be live for Infosecurity Europe 2024 around 21 days prior to the event. You will receive an email to confirm when booking has opened for vehicles.

Any exhibitor or contractor vehicles that are not booked system will be denied access to the loading bay by the on-site traffic team.

Booking your vehicle

All exhibitors, contractors and show suppliers must book every time they need to access the loading bays, whether during build-up, break-down or in exceptional circumstances during show open. This does not apply to couriers (please see the Delivering to your Stand section).

Exhibitors will be notified by the organiser that the ExCeL Vehicle Booking System is live 21 days prior to the event’s first tenancy date.  No vehicle will be permitted access to the loading bay without a booking confirmation.

PLEASE NOTE
Please arrive no earlier than 15 minutes prior to the confirmed booking time.  Early arrivals will cause unnecessary delays and congestion.

We recommend using Google Chrome as the browser to use the system requires an up-to-date internet browser.   The system will work on mobile devices and smart phones and has its own dedicated app available through the App Store or Google Play, please search – Voyage Control.

To schedule the loading bay slot for the vehicle, please follow these instructions: 

  • Sign-up to the ExCeL London booking system by going to this url excellondon.voyagecontrol.com
  • Select Infosecurity Europe and your user type
  • The stand location can be identified from the floor plan that is shown in the system.  Please make a note of the zone colour as you will need this for later on in the process.
  • Select the appropriate event phase (Build Open or Break) and the date when the vehicle will be on site.
  • Select the access point (zone colour) and the type of vehicle that is making the delivery.
  • Once all details have been entered, press the “Get time” button at the bottom of the page to see the available time slots. Time slots are allocated on a first come first served basis. Time slots and unloading/loading times will vary based on availability, user type and vehicle size
  • Once the timeslot is selected, please provide the following details: 
    • Exhibitor company details
    • Delivering company details (if different)
    • Stand details
    • Driver name
    • Origin postcode of vehicle
    • Vehicle registration number

Please note if the driver details or vehicle registration number are not known at the time of booking, the time slot can still be reserved, and the details provided at a later date. Please note that all details must be completed prior to arriving at the venue.

  • The time slot will be confirmed by email along with the vehicle pass. Please ensure your driver has this before arriving at the venue.  This can either be printed or presented electronically.
  • Once registered on the system, any time you need to book another slot your details will already be stored associated with your username and password.
  • If you need any support using the system or have any questions about its operation, please use the “support” button in the vehicle booking system itself or email the organiser.

Details can be amended, or a booking made at any time before arriving at the venue. This means traffic delays can be taken into consideration as the system will remain live until the end of that day.   If driver did not make the booking, please make sure they let the administrator know of any delay so the slot time can be amended.

Space-only stands

Contractors building space-only stands are advised that their breakdown booking time is based on when the stand is broken down and ready to load. Do not book the slot for any time before the stand is dismantled, as the driver will not be able to stay on the loading bay beyond the allotted time.

Getting here

Make sure the delivery vehicle you are using is booked on the ExCeL London Vehicle Booking System before arriving onsite.  Please arrive no earlier than 15 minutes prior to the confirmed booking time.

 ExCeL London is accessed only via Royal Albert Way. Any vehicles approaching the site from the A13 /A406 Beckton Roundabout, should exit onto the A1020 Royal Docks Road, until Gallions Roundabout. Take the fourth exit onto Royal Albert Way and continue westbound along Royal Albert Way until the ExCeL London Roundabout. Vehicles should then go down Sandstone Lane and into the traffic marshalling area, to await further instructions from the ExCeL traffic team.

There is no access for event vehicles via Seagull Lane. All event traffic should use the route detailed above.

Arriving onsite to access loading bays

Please have either a printed copy or be able to present the vehicle booking electronically on arrival at the Traffic Marshalling area. Drivers can wait in their vehicle, and the ExCeL traffic team will scan the confirmation.

Once granted access to the loading bay, depending on the size of the vehicle, the following time will have been allocated for unloading and leaving the loading bay: small vehicles 30 minutes, transit vans to 12t vehicles 1 hour and 1 hour 30 minutes for 17t, 25t and articulated vehicles.

When the time slot has expired the vehicle will need to be taken off site or parked in the car park.

In the unlikely event of a delay, all drivers must follow the ExCeL traffic team’s instructions. Please ensure the driver and crew respect our on-site team and remember that abuse directed at any member of staff will not be tolerated and may result in access to the venue being denied.

Delivering to your stand

Deliveries will not be accepted outside the tenancy times specified in the show timetable. Couriers should follow the same directions to get to the venue, however they are not required to book a time slot for access. When they arrive, couriers will be instructed to go to a waiting area where a representative from the exhibiting company must meet them to receive the goods.

If no one from the exhibitor team is available, please make arrangements for the official shipping contractor to receive goods on your behalf – details can be found in the contacts section of this manual. Neither ExCeL London nor the organiser will accept goods on your behalf.

Forklifting, Portering, & Storage

DSV Global Transport and Logistics have been appointed as the official contractor for forklifting, lifting, handling and storage at Infosecurity Europe.

The official contractor will be onsite during the build up and break down periods of the show and are available to help with any queries. Please note that there is limited storage available for this show.

Parking

Parking is limited on site for vehicles over 1.9m high.  Requests are coordinated on a daily basis by the ExCeL London traffic team. Parking for contractor and exhibitor vehicles up to 2.8m is available on a first-come first-served basis at the cost of £30.00 per day per vehicle.

Parking for larger vehicles may not be available on site and any requests should be directed to the ExCeL London traffic team.  If you are unable to secure a space on site, there are off site parking locations in the local area, such as Canary Wharf and Stratford.

Deliveries

Consider methods to reduce the number of deliveries and, where possible and safe, having single workers load or unload vehicles. Consider using the same pairs of people for loads where more than one is needed. Encourage drivers to stay in their vehicles where this does not compromise their safety and existing safe working practice. Enable drivers to access welfare facilities when required, consistent with other guidance. 

PLEASE NOTE that the Venue nor the show Organisers will accept or sign for any deliveries. All courier deliveries will be directed to the Official Logistics Provider.                 

Want to avoid any exhibition traffic and save time?

Then we strongly recommend that you consider booking the Advanced Warehouse option with the Official Logistics Provider. Send your goods around two weeks before the show and they will be stored and delivered directly to your stand when you are ready for it. It will not only save you time but could also save you money.  Speak to the Official Logistics Provider now to see how they can help.  

 

Can I use my own courier?

Yes you can but in our experience we do suggest that you consider using the Official Logistics Provider for the following reasons:

  • Couriers find it difficult to navigate the venue traffic systems and often struggle to find specific stands within halls.
  • Risk of courier drivers getting caught in exhibition traffic and not wanting to wait.
  • They sometimes leave deliveries without signatures.
  • Any deliveries that arrive before tenancy begins will be turned away.
  • We are currently not allowing any couriers into the exhibition hall so all items are required to be left with the Official Logistics Provider.
  • The organisers and venue will not accept or sign for any deliveries on your behalf.

So to avoid the stress of wondering whether your goods will arrive in time, speak to the Official Logistics Provider and see how they can help and manage this on your behalf.

If you do decide to use your own courier company make sure that they have the correct address below.  Direct deliveries must not arrive at the venue before Saturday, 1st June 2024 - they will be returned to your local logistics/carriers depot. If there is no one at your stand to receive your delivery, and on the rare chance that the delivery is accepted at the Venue then please be aware that there may be an additional handling fee from the Official Logistics Provider.

If it is necessary for you to have a delivery made during the show open period, please ensure that this is made prior to the show opening. Trolleys are not permitted on the show floor once the show is open and therefore any deliveries will have to be hand carried.  

Please do take the time to speak to the Official Logistics Provider who are very experienced in handling exhibition freight and will have cost effective solutions to make your planning experience both pre-show and onsite a lot easier so your time can be spent on more important things.

Lifting (forklifts, cranes etc.)

Only the Official Logistics Provider may operate lifting equipment inside the hall and around the perimeter of the venue. Under no circumstances are any other lifting contractors permitted to use forklifts inside of the halls or in the loading areas.

To order a forklift or other lifting equipment for unloading or loading for stand materials and exhibits please contact the Official Logistics Provider to discuss your lifting requirements and to request a quote for their services.  We recommend that you make contact at the earliest opportunity with details of large or heavy exhibits as these may need to be positioned in the early part of build-up and may require special handling.

Storage

Build Up

Be considerate of others and keep the aisles around your stand clear at all times. Space Only contractors should not be delivering furniture and stand dressing items until there is sufficient space within the stand area to store them.  Items left in the aisles run the risk of being removed either by the Official Logistics Provider or cleaning team which will incur charges that will then be passed directly back to either the stand contractor or exhibitor.

To avoid this risk why not ask the Official Logistics Provider to store any items until you are ready to receive them on your stand? Delaying the delivery of furniture and dressing items will have a positive impact ensuring a smoother onsite experience for everyone, for example;

  • Everyone on site can move more easily around the show floor.
  • The Official Logistics Provider can deliver freight quicker to stands.
  • Venue rigging department can navigate around the show floor easier so less delays.
  • Creates more space for your team to work.
  • Allows venue cleaners to sweep the aisles more regularly which will help to ensure a clean show for your clients on opening morning.

Show Open

No excess stock, literature, or packing cases may be stored around or behind your stand. If you require storage whilst on site at the exhibition (e.g empty cartons, boxes, literature etc.), please contact the Official Logistics Provider for a quote. They will collect items from your stand, store them and promptly return them to you during breakdown. 

Be sure to collect packing labels from the Official Logistics Provider during build-up. If packing material are found un-labelled onsite, it may be treated as waste and removed.

Whilst every precaution is taken to ensure the safety and security of the storage areas, we cannot accept any responsibility whatsoever for any, loss or damage or any consequential losses which may befall on your property. Please refer to the Security Section here for further information. 

Removal of Items During Breakdown

You must not begin removing items from your stand until the exhibition is closed and all visitors have left the hall. 

Trolleys will not be allowed on the exhibition floor until after this time. 

Please do not leave any goods unattended on your stand at this time. Breakdown is a busy period and your property is particularly vulnerable to theft and damage at this time. If you have arranged for a courier to collect items from your stand, please ensure that you are there to meet them. 

The organisers cannot be held responsible for any loss or damage to your goods. All portable and valuable items must be removed from the exhibition halls as soon as possible and by 2000hrs on Thursday 6th June 2024. Any other items remaining in the halls after 1600hrs on Friday 7th June 2024 will be regarded as rubbish and disposed of. The cost for the disposal will be forwarded to the exhibitor or contractor.
